Novinect Privacy Policy

This Privacy Policy applies specifically to Novinect, the WhatsApp automation SaaS and AI receptionist platform provided by Novic Technologies. It explains how Novinect handles data when a business connects a WhatsApp Business account or number and uses the Novinect dashboard, automation, lead capture, staff handoff, and support features.

1. Data We Process

Novinect may process the following data to provide the service:

  • Business account data, business profile details, workspace settings, dashboard user names, roles, email addresses, and access activity.
  • Connected WhatsApp Business account identifiers, WhatsApp phone number IDs, WABA IDs where applicable, access tokens or related connection records, and webhook delivery metadata.
  • Customer names, phone numbers, WhatsApp profile names, inbound and outbound WhatsApp messages, conversation history, timestamps, staff replies, lead details, notes, labels, and routing status.
  • Business knowledge base content, automation settings, AI receptionist instructions, handoff rules, human takeover status, and technical logs needed to operate, secure, and troubleshoot the service.

2. How Novinect Uses Meta and WhatsApp APIs

When a business connects its WhatsApp Business account, Novinect uses Meta and WhatsApp Business Platform APIs to receive messages, send replies, manage connected identifiers, and coordinate dashboard workflows requested by that business.

Novinect only uses connected WhatsApp permissions to provide the requested automation, dashboard, lead capture, handoff, reporting, and support features. We do not use connected WhatsApp permissions for unrelated purposes.

3. AI Processing

WhatsApp messages and related conversation context may be processed by AI providers such as Groq or other model providers to generate draft or automated replies, extract lead information, summarize conversations, classify customer intent, and improve the AI receptionist workflow configured for the business.

AI output is part of an assisted workflow. Businesses should configure their knowledge base carefully and monitor conversations, especially where bookings, payments, complaints, or sensitive situations are involved.

4. Human Handoff and Coexistence

Novinect is designed to support businesses that rely on WhatsApp as an existing communication culture and workflow. Where WhatsApp coexistence is available and appropriate, the goal is to help businesses keep their number and familiar workflow while adding coordination, automation, and dashboard visibility.

Staff or owners can take over conversations. When a human is handling a chat, the AI can be paused, cooled, or governed by handoff rules so the business remains in control of customer communication.

5. Data Sharing

Novinect does not sell WhatsApp conversation data. We may share data only with service providers needed to operate the service, including:

  • Hosting, infrastructure, database, storage, security, and backup providers.
  • Analytics, monitoring, error logging, and support tools where used.
  • AI model providers used to generate replies, extract information, or summarize conversations.
  • Meta and WhatsApp Business Platform APIs for receiving, sending, and managing WhatsApp communications requested by the connected business.
  • Legal, security, or compliance recipients where required by law or necessary to protect the service.

6. Retention and Deletion

Business data is generally kept while the Novinect account remains active, unless deletion is requested, a shorter retention period is configured, or retention is legally required.

Deletion requests can remove business profile data, dashboard users, connected WhatsApp account records, contacts, messages, leads, AI settings, knowledge base content, and related records from Novinect systems where legally and technically possible. Some records may be retained for security, fraud prevention, legal compliance, billing, backups, or dispute resolution.

7. Security

Novinect uses technical and organizational controls intended to protect business and customer data against unauthorized access, loss, misuse, or alteration. No online service can guarantee absolute security, but we work to limit access to the people and systems that need it to operate the service.
