Privacy Policy

This policy explains what personal information Novic Technologies collects through novictech.com and when you work with us, why we collect it, who it is shared with, and the choices you have. We keep it short and we collect as little as we can.

1. Who we are

Novic Technologies Company Limited ("Novic Technologies", "we", "us") is a software company registered in Uganda with the Uganda Registration Services Bureau (registration no. 80034351340778), P.O Box 302022, Mengo, Kampala. We decide how the personal information described in this policy is used.

Some of our products have their own privacy policy, such as the Novinect Privacy Policy. Where a product has its own policy, that policy applies to data inside the product and this one covers everything else.

2. What we collect

  • Contact form details you choose to send: your name, role, email address, phone number, country, company name, company website, company size, industry, the topic you are interested in, how you heard about us, and your message.
  • Messages you send us by email or WhatsApp, and the details you share during calls, meetings, quotes and projects.
  • Basic technical data that web servers record automatically when you visit, such as your IP address, browser type, the page requested and the time of the request. This is kept by our hosting provider for security and troubleshooting.
  • Your language choice (English or Arabic), saved in your own browser so the site opens in the same language next time. It is not sent to us.

We do not use analytics, advertising or tracking tools on novictech.com, and we do not build profiles of visitors.

3. Why we use it

  • To reply to your enquiry and prepare proposals, quotes and demos you ask for.
  • To deliver, support and invoice the products and services you take from us.
  • To keep the website and our systems secure, and to detect spam and abuse.
  • To meet our legal, tax and accounting obligations.

We use your information on the basis of your consent (for example when you submit the contact form), to take steps towards or perform a contract with you, or where the law requires it. We will not send you marketing messages unless you have agreed to receive them, and you can opt out at any time.

4. Who we share it with

We do not sell personal information, and we do not share it with other companies for their own marketing.

We use a small number of service providers who process information on our behalf and only to provide their service to us:

  • Website hosting and security providers, which store the site and its server logs.
  • Novic Host, our own platform, which receives contact form submissions and delivers them to our team by email.
  • Email and productivity providers we use to correspond with you.
  • Meta (WhatsApp) when you choose to message us on WhatsApp. Your chat is then also covered by WhatsApp's own terms and privacy policy.
  • Google Fonts, which serves the typefaces on this site and receives your IP address when the fonts load.

5. Information stored outside Uganda

Some of our providers store data on servers outside Uganda. When that happens we use providers that apply recognised security standards and we only transfer what is needed for the service.

6. How long we keep it

We keep enquiries for as long as we need them to respond and follow up, and normally no longer than two years after our last contact if you do not become a client.

Client records are kept for as long as we work together and afterwards for as long as the law requires us to keep financial and business records. Server logs are kept for a short period by our hosting provider.

7. Your rights

Under the Uganda Data Protection and Privacy Act, 2019 and similar laws, you can ask us to:

  • Tell you what personal information we hold about you and give you a copy.
  • Correct information that is wrong or incomplete.
  • Delete your information where we no longer have a reason to keep it.
  • Stop using your information for a particular purpose, including marketing.

8. Security

We limit access to personal information to the people who need it, use encrypted connections (HTTPS) across the site, and protect our accounts with strong authentication. No system is completely secure, but we work to protect your information and will act quickly if something goes wrong.

9. Children

This website is meant for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 18 through it.

10. Changes to this policy

We may update this policy as our website, products or the law change. The date at the top of this page shows when it last changed.

11. Contact us

To use any of your rights or ask a question about privacy, email us. We aim to reply within 7 days. If you are not satisfied with our response, you can contact the Personal Data Protection Office in Uganda.
